Acceptable use policy
Last updated 12 October 2026.
1.Who this applies to
This policy applies to everyone who uses Remote Desk: members, admins, guests and anyone who connects through an integration or an AI employee acting on a person's behalf. It adds detail to the acceptable use section of our terms of service, and you are responsible for what is done with your account.
If your organisation self-hosts Remote Desk, your organisation sets the rules for its own instance. This policy still describes what we expect on the hosted service.
2.Do not break the law or other people's rights
Do not use Remote Desk to do anything unlawful, to infringe copyright, trademarks or other rights, or to store or share material you have no right to share.
Do not share sexual content involving minors, content that threatens or incites violence, or content that exists to defraud or deceive people.
Do not use the service to collect personal data about people without a lawful basis, or to build tools that do.
3.Treat people decently
Do not harass, threaten, stalk, demean or discriminate against other people in chat, rooms, calls, comments, docs or whiteboards. Do not impersonate another person or misrepresent who you are.
Rooms are shared spaces. Do not disrupt a meeting you are not part of, ignore a host's decision to remove you, or keep re-entering a room you have been asked to leave.
4.Recording, screen sharing and monitoring
Do not record, capture or secretly relay other people's audio, video or screens outside the tools Remote Desk provides. Use the built-in recording, which tells everyone in the room when it starts, rather than recording a call some other way without telling people.
Only record meetings where you have the right to, and respect the laws and your organisation's policies that apply to the people in the room, which may require telling or asking them first.
Organisations that switch on app activity or screenshots must follow the duties in the workplace monitoring notice.
5.Security and service abuse
Do not probe, scan or test the service for weaknesses except under our security disclosure policy. Do not try to access an account, workspace, room or file you have not been given access to, bypass a room's password or access list, or get around rate limits, sign-in protections, IP rules, permissions or billing limits.
Do not upload malware, run denial-of-service attacks, overload the service with automated traffic, or use Remote Desk to send spam or phishing, including through invitations, chat, email or notifications.
Do not share your credentials, or use another person's account. Keep API keys and connection tokens secret, and tell your administrator if one is exposed.
To report a weakness, follow the security disclosure policy.
6.Using AI responsibly
Do not use AI features to produce content that breaks this policy, to generate material meant to deceive or harm people, or to evade the limits of your role or budget. An AI employee or agent can only do what the person who asked could do, and you remain responsible for what it does on your request.
Do not put into AI prompts or files anything you have no right to share with a model provider. More in the AI usage policy.
7.What happens if the rules are broken
Organisation owners and admins can remove content, disable accounts and sign members out of their organisation. We can do the same on the hosted service when we find a breach, and we can act on a whole organisation where its use is the problem.
Depending on how serious and how repeated the breach is, we may remove content, limit a feature, suspend an account or end access. Where practical we will tell you first and give you a chance to fix the problem. We may act immediately where there is a risk to people, to the security of the service or to our legal obligations, and we may report unlawful activity to the authorities.
Suspending or ending access does not delete your organisation's data on its own. See the data retention page for what is kept and for how long.
8.Reporting a problem
To report abuse, or to ask us to review a decision, write to hello@thehivez.com with what happened and where you saw it.
